Executive Assistant

Framery is known for its high-quality office phone pods and we want to ensure our internal operations and visitor experience are world-class as well. As an Executive Assistant, you will play a key role in ensuring our daily operations, seamless travel and meeting logistics, and a top-notch visitor experience. This is a unique opportunity to work at the heart of the company as a member of our ambitious team. In this role, you will act as a professional representative of Framery to both the internal community, management, and our guests.

As an Executive Assistant, you'll be working with:

  • Calendar & Meeting Management: Organizing calendars and meeting logistics for our Management team. 

  • Travel & Logistics: Coordinating travel arrangements, including scheduling and bookings.

  • Visitor Experience: Managing guest arrivals and maintaining a welcoming, professional atmosphere at the HQ.

  • Internal Communications: Coordinating internal events, creating materials, and supporting internal communication projects like intranet updates.

  • Admin & Expense Management: Tracking and managing expenses for the management team and handling general office tasks such as mail and facility upkeep.

  • Collaboration: Working closely with the Administrative Manager and other internal stakeholders to ensure a smooth administrative workflow.

We are looking for:

  • Relevant degree in Business Administration, Hospitality, or related field

  • Previous experience in administrative coordination, reception services, or assistant roles

  • A proactive, "get it done" mentality and a passion for getting the small details right

  • A customer-centric approach and a collaborative mindset with a genuine interest in building relationships across the organization

  • Full working proficiency in Finnish and English, both written and verbal

  • Strong command of office tools e.g., Google Workspace; experience with AI tools is considered an advantage

Practicalities:

This is a full-time and permanent position. The start time in the role is as soon as possible. The position is located in Tampere and a strong presence at the Factory (Framery HQ) is required. While the role is office-based, there is flexibility for remote work depending on the daily tasks.
