We are seeking a skilled Documentation Specialist to Kouvola, Finland to manage, organize, and control data center project documentation throughout the project lifecycle using Autodesk Construction Cloud (ACC), and correspondence management.
Key Responsibilities

Manage ACC projects and folders: set up permissions, naming conventions, and metadata/tags to support search and reporting.

Control document lifecycle: upload, review, publish, supersede, and archive drawings, models, specifications, and records.

Administer workflows: configure and monitor RFIs, submittals, transmittals, issues, and approvals within ACC.

Version control and audit trail: ensure traceability, track revisions, and maintain document logs and dashboards.

Create and maintain templates: folder structures, review workflows, forms, and reporting layouts.

Quality assurance: perform document checks for completeness, format, and compliance with company and client standards.

Coordination and support: train end users, troubleshoot access/sync issues, and liaise with project managers, design teams, and external partners.

Integration and data hygiene: coordinate links with related tools (e.g., Revit, Navisworks, BIM 360/ACC modules, SharePoint), enforce metadata standards, and prevent duplication.

Reporting: generate weekly/monthly status reports, overdue items, and KPI dashboards (e.g., submittal cycle times, RFI aging).

Closeout: compile turnover packages/O&M manuals, as-builts, and finalize archives per contract requirements.

In addition to ACC-related responsibilities, the role is responsible for managing incoming and outgoing correspondence, as well as the collection, filing, and maintenance of letters and company documentation
What we expect from you

Bachelor’s degree in Civil Engineering, Business Administration, or a related field

Minimum 3–5 years experience in document controlling
