We are looking for a Group Administrative Officer to join Done Enterprises and take responsibility for administration, HR, and finance operations across the Done Group.
You will work closely with the CEO and team and be involved in reporting and project development, while making sure daily operations run smoothly.

- This position is a maternity leave cover, offered as a fixed-term contract expected to last approximately 1–1.5 years, with the possibility of continuation.
- The position may start part-time as soon as possible and transition to full-time from April 2026.
- Salary: According to agreement and in line with applicable collective agreement.
Requirements
- Ability to work full time in Vaasa
- Administration is handled in Finnish, Swedish, and English, and a good command of all three is required
- Good organizational and coordination skills
- Relevant education in administration, business, finance, HR, or equivalent
- Previous experience in administrative work, preferably in a small or growing company
- Interest in HR, finance, and reporting tasks
- Ability to work independently and take initiative
- Willingness to learn new things and handle many types of tasks
The job responsibilities include
Administration & management support
- Handle group-level administration for all Done companies
- Work closely with the CEO, management and team
- Coordinate with boards, advisors, and external partners when needed
HR
- Prepare employment contracts, certificates, and other employment-related documents
- Maintain statutory, HR, and financial documentation in line with legal and compliance requirements
- Handle HR documentation
- Support recruitment and onboarding
- Communicate with authorities when needed
- Maintaining and improving internal admin/HR/finance tools
- Oversee payroll administration by preparing and submitting payroll documentation to the external payroll provider
- Provide day-to-day support to employees in HR-related matters
Finance & reporting
- Invoicing
- Manage bookkeeping for all company entities, preparing and delivering all required documentation to the external accountant
- Budgeting and financial reporting
- Handling confidential and sensitive information with discretion
Office & operations
- Office management
- Improve and document processes
- Support teams, consultants, and freelancers in daily matters
- Ensuring consistency of processes across all Done entities
- Supporting intercompany coordination and documentation
