Executive Assistant to the Director
We are seeking a highly organized and professional Executive Assistant or Senior Administrative Secretary to directly support the Director.
This is not a general office role. This is a dedicated support position requiring exceptional organizational ability, structured thinking, and high-level administrative competence.
The successful candidate will serve as the primary administrative support to the Director and will be responsible for maintaining professional documentation standards and operational discipline.
Full-time commitment is required. Remote work is possible, but high availability and responsiveness are essential.
Key Responsibilities:
- Provide direct administrative support to the Director
- Manage scheduling, correspondence, and document flow
- Draft, format, and finalize official letters and formal communications
- Prepare meeting agendas and record accurate minutes and protocols
- Maintain structured document management and filing systems
- Ensure proper handling of governance documentation and internal records
- Track action items and follow up on deadlines
- Maintain strict confidentiality at all times
Required Qualifications:
- Excellent written and spoken English (professional fluency required - mandatory)
- Proven experience as a high-level Administrative Officer
- Exceptional organizational skills (top-level ability to structure processes and documentation)
- Strong experience in document management and formal correspondence
- Ability to prepare professional meeting minutes and official documents
- High level of responsibility, precision, and attention to detail
- Ability to work independently and maintain structure without supervision
- Strong sense of discretion and reliability
- Availability to start as soon as possible
Education:
Higher education is preferred; however, demonstrated professional competence and experience in executive-level administrative work are considered more important than formal degrees.

The position will be structured as a service-based engagement. Payment will be made upon submission of invoices, in accordance with an agreed service agreement.
